What Is Workforce Management Software?

Workforce management software is a set of tools for planning, recording, and paying for the hours a team works. It covers scheduling, time and attendance, absence and leave, labor cost and payroll, and reporting across all of them.

Scheduling

Building shifts and assigning people to them. In WebWork you set start and end times, working days, and time zones per shift, and get an alert when someone exceeds their scheduled hours.

Time and attendance

Recording when people start, pause, and finish. WebWork gives each group its own clock-in method: the desktop app, the mobile app, a shared time clock kiosk with personal PIN codes, or geofenced job sites that start the timer when a field worker arrives.

Time and attendance recording with desktop mobile kiosk PIN and geofenced job sites

Absence and leave

Handling time off without a separate spreadsheet. Employees submit requests, managers approve or reject them in one click, and remaining balances update automatically.

Labor cost and payroll

Turning hours into money. Approved timesheets become payroll amounts with regular time, overtime, paid leave, and paid breaks calculated separately, and project budgeting shows what the labor on each project has cost against its estimate.

Workforce analytics software

Reporting on all of the above. WebWork has over 15 report types filterable by member, team, project, job site, or date range, exportable as CSV or XLSX and schedulable by email.

Workforce Management from Shifts to Payroll Reports

Shifts, clock-ins, leave requests, timesheets, and payroll are all based on tracked hours and managed in one place.

Shift Scheduling and Coverage

Build shifts with their own start and end times, working days, and time zone, then assign them to people or whole teams. WebWork alerts you when someone works past their scheduled hours.

Payroll, Billable Hours, and Labor Cost

Approved hours become payroll amounts with regular time, overtime, paid leave, and paid breaks calculated separately at each person's rate. Set billable rates per member, project, or contract for client work, and use project budgeting to compare estimated spend against what the labor has actually cost, with alerts before a project passes its threshold. Pay out through Deel, or export payroll reports for Wise, PayPal, Payoneer, and Gusto.

Clock-Ins for Office, Remote, and On-Site Teams

Each group clocks in the way that suits how they actually work. Desk staff run the desktop app on Windows, macOS, or Linux; on-site teams share a time clock kiosk on any tablet or laptop, each person entering their own PIN; field crews are clocked in automatically when their phone crosses a job site boundary. Tracking continues offline and syncs once the connection returns.

Timesheets and Approvals

Employees submit timesheets at the end of each pay period and managers approve or reject them, with a required reason on anything sent back. Several pay periods can run at once, which is what mixed teams of salaried staff, contractors, and freelancers need, and approved timesheets export as CSV, XLSX, or PDF.

Roles and Permissions Across Teams

Six role levels decide who sees what: a team manager sees only their own team's data, a project manager only their projects, a regular user only their own. Project Viewer seats are view-only and free to add, so a client can watch progress on their project without you paying for the seat.

Workforce Tracking in Real Time

WebWork records the working day as it happens: who is tracking time right now, what project they are on, which apps and sites they are using, and how active they have been.

See Who Is Working Right Now

A live dashboard lists everyone currently tracking time, the project and task they are on, the app or site in front of them, their activity description, and which tracker they are on. Field staff also appear on a live presence map showing who is at which job site.

Screenshots for Work Verification

Screenshots are taken only while the timer is running, at a frequency you set between one and ten per interval. For privacy, enable and adjust blurring per workspace or single project and contract.

Workforce Performance Reports and Analytics

Over 15 report types cover tracked hours, attendance, activity level, apps and websites, tasks, breaks, payroll, billable hours, and project budgeting, each filterable by member, team, project, job site, or date range. Reports export as CSV or XLSX, go out on a recurring schedule by email, and can be shared by link.

Workforce Management for Every Team Setup

WebWork enables all kinds of teams to manage time with their own shift rules and their own pay period.

Remote and Hybrid Teams

Remote workforce management software has to account for the same person working from the office some days and from home on others. Productivity Insights compares those two sets of days directly so you can see whether output actually differs.

On-Site and Shift-Based Teams

A kiosk opens in any browser from its own URL, so a warehouse, clinic, or site office can turn a spare tablet into a time clock without buying hardware or installing an app. Create one kiosk per location or shift, each with its own assigned members and auto-logout.

Field and Mobile Teams

Job sites are set by address with a radius between 50 and 5,000 meters, and you can import them in bulk from a CSV or XLSX. Each visit records entry and exit time, total time inside the boundary, and how much of the tracked time was spent on site, with route traces on a map.

Small Teams and Growing Businesses

Create the workspace, invite people, and build the first shift. Plans start at $3.99 per user per month and the 14-day trial allows a small team to test all features for free and without a card before committing.

Smart Workforce Management with WebWork AI

WebWork AI works on the tracked data with no separate setup and no rules to configure. Ask it about a person, a team, or a project and it answers from the reports. It also writes daily summaries and flags performance patterns for each employee. Every AI feature except the Smart Monitoring add-on is included in your plan.

Ask WebWork AI About Your Team

Ask the assistant about someone's performance, a team's tracked hours, or the time on a project, and it answers from the existing reports.

Irregular Activity and Burnout Flags

WebWork flags unusual performance like activity above 95% for 45 minutes or more, input that fluctuates by less than 4% across an hour, and heavy mouse use with almost no keyboard input. It also flags burnout signals like work past healthy daily hours and notifies you to take action.

Smart Monitoring

Smart Monitoring is a paid add-on at $2.50 per user per month that sorts each person's performance into one of five states — Positive, Neutral, Attention Needed, Negative, or Irregular Activity Risk — and flags the ones worth looking at. A manager with a large team gets the list without reading through individual logs to build it.

Workforce Data Security and Compliance

WebWork is GDPR, CCPA, and HIPAA compliant, encrypts data in transit with SSL/TLS, and runs on Amazon S3 infrastructure behind Cloudflare protection, and none of that data is ever sold to anyone. It offers role levels so a team manager sees their own team's data while employees can always see their own tracked hours, activity levels, and screenshots. You also control how much gets captured and nothing is recorded once the timer stops. And if something is changed after the fact, the log shows the old and new values along with who made the change.

Comprehensive Dashboard, Great ROI

The dashboard is super comprehensive, and the reports are perfect. The UI/UX of the dashboard makes it really easy to use, and you can get a review of the working of the team's work fast and easily. Overall performance of the application is great, and there are no missed entries. The prices are quite reasonable, and they provide a great return over the investment.

Industries Using WebWork for Workforce Management

The teams that need workforce management software most are the ones running several shifts, several locations, or several clients at once. These are the setups WebWork is used for most often.

Staffing Companies

Placed workers clock in from geofenced client sites, so the agency can show a client exactly when its temps were on the premises and for how long. Rates attach to the contract rather than the person, and invoices generate from the billable hours on each client's projects with the activity descriptions included.

Call Centers and Support

Coverage is the whole job when queues have to be staffed through the day, and the attendance dashboard shows late starts, early finishes, and absences as they happen rather than at the end of the week. Punctuality rankings and shift compliance per agent give team leads something specific to work from in one-to-ones.

BPO Companies

Each client gets its own project, so tracked hours, activity levels, and screenshots are already separated by account when a client asks what its retainer covered. Shifts carry their own time zones, which is what a delivery centre serving clients in three regions needs to schedule against.

Healthcare

A kiosk on a tablet at reception covers staff who share a workstation, while visiting clinicians are clocked in by their phones when they reach a patient address. HIPAA compliance is available on the Premium plan for organizations handling protected health information.

E-Commerce and Retail

Every store runs its own kiosk with its own assigned staff and PINs, and seasonal hires are added and removed without touching the setup for anyone else. Tag people by location in custom fields and any report — hours, attendance, payroll — can be broken down store by store.

Software and Web Development

Time is tracked per task, so project budgeting compares what a sprint was estimated to cost against what the hours have actually come to, with an alert before it passes the threshold. For distributed teams, shifts carry time zones and the tracker keeps recording offline.

FAQ

Workforce management software is a set of tools for planning, recording, and paying for the hours a team works. It typically covers scheduling, time and attendance, absence and leave, labor cost and payroll, and reporting across all of them.
At minimum it should build and assign shifts, record clock-ins and attendance, handle leave requests and balances, produce timesheets that convert into payroll, and report on hours and labor cost. Tools aimed at remote and hybrid teams usually add activity and app tracking, and tools aimed at field teams add GPS and geofenced clock-in.
HR software holds employee records such as hiring, contracts, benefits, and performance history. Workforce management software handles the working day itself — schedules, hours, attendance, leave balances, and labor cost — and most companies run both, connected to each other.
Free tools exist, though they usually cap the number of users or leave out approvals, payroll, and reporting, which are the parts that make the software worth running. WebWork has no permanently free plan; it offers a 14-day free trial with no card required, after which plans start at $3.99 per user per month.
Plans start at $3.99 per user per month for Pro, $6.39 for Plus, and $7.19 for Premium, with Smart Monitoring available as a $2.50 add-on. Full details are on the pricing page.
Yes. Leave management is available across plans, and shift scheduling is included from the Plus plan at $6.39 per user per month.
Yes, and each group can be configured differently within the same workspace. Remote staff track from the desktop or web app, on-site teams share a kiosk with personal PIN codes, and field crews are clocked in automatically when they reach a geofenced job site.
No. WebWork reports on hours, attendance, coverage, and labor cost that have already happened, and shifts are built manually rather than generated from predicted demand. Teams that need demand forecasting usually pair it with a dedicated scheduling forecast tool or use an enterprise WFM suite.
Monitoring work activity on company time is generally legal in most jurisdictions when employees are informed about what is being tracked, though the specific requirements around consent and notice vary by country and by state. WebWork is GDPR, CCPA, and HIPAA compliant and lets employees see their own tracked data, but check the rules that apply where your team is based before switching monitoring on.
You can set up WebWork in a couple of minutes and start tracking time within an hour of signing up. Shifts, leave rules, and pay periods can be added over the following days as they become relevant.
