Why Time Tracking with Microsoft Teams Matters

  • Notifications reach your team where they already communicate, instead of getting buried in email.
  • Managers clear approvals in seconds without leaving the conversation.
  • AI-powered actions turn the chat into a direct line to your tracking data.

What You Can Do with the WebWork and Microsoft Teams Integration

Receive WebWork notifications directly in Teams, take actions like approving timesheets and leave requests, and use WebWork AI to check performance, analyze tracking data, and more, all without leaving the chat.

Approvals in one click

Approve, reject, and manage requests from interactive cards. WebWork checks every approval against the approver’s WebWork permissions.

WebWork AI in the chat

Check performance, analyze tracking data, or create tasks and projects by asking. Whatever you ask the bot is used only for providing you with the answer you need. We don’t use your data to train AI models.

A personal WebWork tab

See today’s tracked time with start and stop controls, inside Teams. When you open the Today tab, Microsoft confirms your identity to us. We use it to sign you in and do not store it.

Automated celebrations

Get holiday and birthday messages posted in relevant chats directly.

Recurring team automations

Set up standups and WebWork will send the reminders in your selected chat.

How to Integrate WebWork with Microsoft Teams

The setup of Microsoft Teams time tracking integration takes two minutes. Note that to implement the integration, you should be using the paid version of Microsoft Teams.

  1. Step 1

    Enable and get the package

Go to Integrations>Microsoft Teams and click Enable. Then click Download app package to get the zip containing the Teams app manifest and icons.

  2. Step 2

    Upload it to Microsoft Teams

A Teams administrator uploads the zip, either through:

    • Teams admin center → Manage apps → Upload new app, or
    • Right inside Teams: Apps → Manage your apps → Upload an app to your org’s app catalog
  3. Step 3

    Add WebWork to a team

Add the WebWork bot to a team in Microsoft Teams. The bot syncs the member list of every team it’s added to; that’s how your people get matched to their WebWork accounts.

Tip: pre-install the app for everyone using an app setup policy.

  4. Step 4

    Paste your connect code

Once added, the bot greets you with a welcome card. Copy the connect code shown on the WebWork integration page, paste it into the bot, and press Connect workspace. Teammates are matched automatically by their work email.

The connect code expires in 1 hour — if it expires, reload the page for a fresh one.

For a detailed technical walkthrough, see the Help Center article.

Enable Integration

Managing the Integration

Once connected, you’ll land on the integration page, with two tabs: Members and Settings. Teammates are matched automatically by their work email.

  1. Members

This tab shows everyone the bot found through your connected Teams, along with their email, matched WebWork account, and status.

  2. Import

Select members and click Import to bring unmatched members into WebWork.

  3. Settings

Under Sync Settings, turn on auto-sync to keep your Teams members and WebWork workspace in sync automatically, rather than needing to re-check matches manually.

Statuses on the Members tab

Matched
The Teams member’s email matches an existing WebWork account, so they’re ready to receive notifications and use the integration.
Not matched
No corresponding WebWork account was found for that email.
Can’t message yet
The WebWork app isn’t installed for this person yet, so the bot can’t send them private messages. A Teams admin can pre-install it for everyone using an app setup policy to avoid this.

What the Teams App Can and Can’t See

The Teams app does not read chats or channel messages that are not sent to the WebWork bot. It does not access files, calendars, email or your organization’s directory.

  • Whatever you ask the bot is used only for providing you with the answer you need. We don’t use your data to train AI models.

  • When your workspace disconnects Microsoft Teams, we delete its Teams app data 30 days later. This includes member and channel records, bot chat history and AI feedback. During these 30 days you can reconnect.

  • WebWork checks every approval against the approver’s WebWork permissions.

Notification Preferences

You can customize which notification types to receive and how to receive them. Feel free to configure these preferences independently and choose the most convenient channel for each notification type.

Available notification types

Notifications can be sent through:

  • Time & timesheetsTimesheet approval
  • Time & timesheetsManual time requests
  • Time offTime off & leave
  • TasksTask assignments
  • TasksTask comments & mentions
  • In-App
  • WebWork Chat
  • Microsoft Teams (if integrated)
  • Slack (if integrated)

How to configure notification preferences

  1. Go to Settings.
  2. Select Notifications under Personal.
  3. Find the notification type you want to configure.
  4. Select the channels where you want to receive that notification.
  5. Repeat this for other notification types as needed.
  6. Click Save changes.

Each notification type has its own channel settings, so enabling a channel for one notification does not automatically enable it for others.
