17. Microsoft Teams app

This section covers the WebWork Time Tracker app for Microsoft Teams (the "Teams app"). It adds to the rest of this Privacy Policy.

What the Teams app collects

  • From Microsoft Teams: your Microsoft 365 organization ID, the names and IDs of the teams and channels where the app is added, and the name, work email and Microsoft user IDs of each person in those teams.
  • Technical addresses that Microsoft Teams gives us to send messages to a person or a channel.
  • The messages you send to the WebWork bot, and its answers.
  • Your feedback on AI answers (thumbs up or down, and an optional comment).
  • When you open the Today tab, Microsoft confirms your identity to us. We use it to sign you in and do not store it.

What the Teams app does not access

The Teams app does not read chats or channel messages that are not sent to the WebWork bot. It does not access files, calendars, email or your organization's directory.

How we use it

  • To match each person to their WebWork account by work email.
  • To send the WebWork notifications that each member chooses.
  • To let approvers approve or reject requests in Microsoft Teams.
  • To answer commands and questions sent to the bot.
  • To review reports of wrong or inappropriate AI answers.

AI answers

When you ask the bot a question, we send the question and the WebWork data needed to answer it to our AI provider, Anthropic. Anthropic processes this data for us and does not use it to train its models. AI answers can contain mistakes. To report a wrong or inappropriate answer, select thumbs down under it or contact us.

Where we store it and how long we keep it

We store Teams app data on WebWork's servers, hosted by Contabo in the European Union.

  • While your workspace is connected to Microsoft Teams, we keep the data, including the bot chat history.
  • When your workspace disconnects Microsoft Teams, we delete its Teams app data 30 days later. This includes member and channel records, bot chat history and AI feedback. During these 30 days, a reconnect keeps working.
  • If the Teams app is added but never connected to a workspace, we delete its data after 30 days without activity.
  • When you delete your WebWork account, we delete its Teams app data at once.
  • We delete AI feedback 12 months after you give it.
  • AI requests also follow our WebWork AI Policy.

You can ask us to delete your data at any time at dpo@webwork-tracker.com.

Security

All data travels encrypted (HTTPS). Microsoft signs every message it sends to the bot, and we check the signature. WebWork checks every approval against the approver's WebWork permissions.

Sharing

We do not sell Teams app data. Microsoft processes Teams messages under its own privacy terms.
