Hubstaff pricing starts at $4.99 per user per month with annual billing. However, the final cost depends on your team size, plan, and any paid add-ons.

After picking the right plan, adding some extras, and accounting for all seats, the total becomes quite different from that figure. Here’s what each plan includes, which features cost extra, and what a 10-person team can expect to pay.

Hubstaff pricing starts at $4.99 per user per month with annual billing, and a limited free plan is available for one organization owner.

Starter: $4.99 (annual) or $7 (monthly)

Starter covers the basics: time tracking, automatic timesheets, activity levels and client invoicing. It suits a small team that just needs accurate hours.

The limits show up fast, though:

  • 500 screenshots per user per month
  • 500 app and URL records per user per month
  • Up to 5 clients

If someone works full days with screenshots on, 500 a month won’t stretch far. Keep that in mind before choosing this plan for full-time staff.

Fits: freelancers, startups, and teams trying time tracking for the first time.

Grow: $7.50 (annual) or $9 (monthly)

Grow raises the caps to 1,500 screenshots and 1,500 app and URL records per user per month. It also adds:

  • Idle timeout
  • Project budgets
  • Expense tracking
  • Unlimited clients
  • One integration
  • Tasks (a paid add-on on Starter)

This is the plan for teams who want to know a project is running over budget before the invoice goes out.

Fits: small agencies and service teams that bill by the project.

Team: $10 (annual) or $12 (monthly)

Team is where Hubstaff becomes a full workforce tool. On top of Grow, you get:

  • Timesheet approvals
  • Scheduling, attendance and time-off tracking
  • Daily and weekly limits, and work breaks
  • Payroll automation
  • Team invoicing
  • Unlimited integrations
  • Unlimited screenshots

Insights (workforce analytics) comes with a 3-month free trial on Team. After that it’s a paid add-on, so budget for it if you want to keep it.

Fits: agencies, BPOs and distributed teams that run payroll off tracked hours.

Enterprise: $25 per user/month (annual billing)

Enterprise adds the heavy security and admin side:

  • Background time tracking
  • SSO and SCIM provisioning
  • Account provisioning
  • Work orders and jobs
  • HIPAA and SOC 2 support
  • Insights, Locations, Silent App and Tasks at no extra charge.
  • Concierge onboarding, an account rep and VIP support

Fits: large companies in healthcare, finance or legal, where an auditor will ask for paperwork.

Because it’s priced for bigger deals, talk to Hubstaff’s sales team before you budget around the $25 figure.

Hubstaff add-ons: where the bill grows

Some features sit outside your plan and cost extra per user.

What the pricing page doesn’t shout about

You pay for every seat: Even if you don’t track time yourself, the owner’s seat counts. Hubstaff offers a free Project Viewer role for people who only need to read reports.

Add-on trials end in a charge: Add-ons bill automatically once their trial runs out, unless you remove them first.

Removing a user doesn’t get you money back: On annual plans, the seat stays yours to hand to someone else, but there’s no prorated refund. On monthly plans, the seat stays open until the billing cycle ends.

Monthly billing costs more: On Team, that’s $2 extra per user every month.

What a 10-person team really pays

Here’s the yearly math for 10 users on annual billing:

PlanPer userYearly total
Hubstaff Starter$4.99$598.80
Hubstaff Grow$7.50$900
Hubstaff Team$10$1,200
Hubstaff Team + Insights + Silent App + Locations$18.33 after the Insights trial About $2,125 in year one; about $2,200 for a full paid year

That last row is a team that wants analytics, background tracking and GPS. The plan looked like $10. The real number landed closer to $18.

Pick Hubstaff if you require SOC 2 Type II certification or work-order management.

Pick WebWork if you’re a startup or growing team that wants screenshots, background tracking, payroll and chat without climbing price tiers.

Which plan fits whom

  • Solo or tiny team, light needs: Hubstaff Starter, or WebWork Pro.
  • Small agency tracking project costs: Hubstaff Grow, or WebWork Plus.
  • Remote team running payroll: Hubstaff Team, or WebWork Plus.
  • Regulated company with audits: Hubstaff Enterprise (SOC 2), or WebWork Premium if HIPAA and SSO are what you need.

Whichever you shortlist, run the 14-day trial with real people and real work. Both tools offer one.

Frequently asked questions

How much does Hubstaff cost per user?

Paid plans start at $4.99 per user per month on annual billing, or $7 on monthly billing. Grow is $7.50 annual, Team is $10 annual, and Enterprise is listed at $25 per user per month on annual billing; confirm pricing with sales.

Does Hubstaff have a free plan?

Yes. Hubstaff offers a limited free plan for one organization owner. It also offers a 14-day free trial of its paid plans without requiring a credit card. After that you pick a paid plan, which comes with a 30-day money-back guarantee.

Which Hubstaff plan includes payroll and scheduling?

The Team plan, at $10 per user per month on annual billing. Starter and Grow don’t include them. Enterprise has them too, along with SSO and compliance support.

Is WebWork more affordable than Hubstaff?

Yes, at every tier we compared. WebWork starts at $3.99 per user versus Hubstaff’s $4.99, and payroll comes with WebWork Plus at $6.39 instead of Hubstaff Team at $10. Hubstaff is still the better pick if you need SOC 2.

Conclusion

Hubstaff’s $4.99 is a fair starting price, but it only covers the basics. Payroll and scheduling are included in the Hubstaff Team at $10 per user per month with annual billing. Higher screenshot limits and other features may require paid add-ons on lower plans, while background tracking is available through an add-on.

Before you decide, count your seats, list the features you can’t work without, and add up the real monthly total for your team. If Hubstaff still wins on that math, especially for SOC 2, it’s a good choice.

If it doesn’t, take a look at WebWork. It’s a Hubstaff alternative that starts at $3.99 per user and includes background tracking, payroll from $6.39 and built-in team chat. Start the 14-day free trial, run it next to Hubstaff with your own team, or book a demo and compare the numbers yourself.
