QuickBooks Time has two standalone plans: Premium, which costs $20 per month plus $10 per user, and Elite, which costs $40 per month plus $12 per user. Both plans became more expensive on July 1, 2026, when Intuit increased the per-user charge by $2.
Before choosing a plan, it helps to understand how QuickBooks calculates its monthly charges. You pay a monthly base fee as well as a charge for each additional user. This means the actual cost depends on your team size, not just the advertised per-user price.
In this guide, we’ll look at what each plan includes, how the July 2026 price change affects the cost, and what teams of 10, 25 and 50 paid users can expect to pay. We’ll also compare QuickBooks Time with WebWork, which starts at $3.99 per user per month on annual billing, without a base subscription fee.
QuickBooks Time Pricing at a Glance
QuickBooks lists two standalone time plans. In addition, it sells two Workforce plans that bundle time tracking with payroll.
| Plan | Base fee | Per user | Billing |
| Time Premium | $20/month | $10/month | Monthly |
| Time Elite | $40/month | $12/month | Monthly |
| Workforce Premium (time + payroll) | $88/month | $13/employee/month | Monthly |
| Workforce Elite (time + payroll + HR) | $134/month | $17/employee/month | Monthly |
New customers get 50% off the base fee for the first three months. On Premium that means $10 instead of $20 for three months, a saving of $30. The per-user fee is not discounted, and the full base fee returns after the third month.
What Each QuickBooks Time Plan Includes
Time Premium: $20 Base Plus $10 per User
Premium covers daily time tracking for hourly teams. It includes:
- The Workforce app, where staff track time and managers approve it
- Syncing of time data to accounting, payroll and invoicing
- Time off management
- Alerts and notifications
- Photo attachments on timesheets
- A time kiosk for on-site clock-in
- Unlimited customer support
Scheduling is included in both plans, and the base fee covers one admin. Premium covers the basic needs of teams that want to track working hours, manage schedules and send time data for payroll.
Time Elite: $40 Base Plus $12 per User
In addition to Premium features, Elite adds:
- Mileage tracking
- Project tracking
- Project estimates versus actuals
- A project activity feed
- Timesheet signatures
The step up costs $20 more in base fee and $2 more per user. For 25 paid users, that is $70 more every month. Elite suits teams whose hours need to match job budgets and client sign-offs.
Workforce Premium and Elite: Time Plus Payroll
Time tracking is also included in Workforce Premium ($88 a month plus $13 per employee) and Workforce Elite ($134 a month plus $17 per employee). These plans also include payroll. QuickBooks calculates, files and pays payroll taxes, and the plans include 1099 e-filing and same-day direct deposit. Elite also adds HR tools, geofencing and mileage tracking.
For 25 employees, Workforce Premium comes to $413 a month and Workforce Elite to $559.
What the Plan Lists Leave Out
The QuickBooks Time pricing page focuses on time tracking and payroll-related features. It does not list employee monitoring features such as screenshots, app and website usage, or activity-level tracking. Businesses that need visibility into how remote employees spend their working hours may need a separate monitoring tool.
The July 2026 Price Increase in Numbers
Intuit told customers that the per-user fee would go up by $2 a month on July 1, 2026. However, the base fees stayed at $20 and $40. The pricing page now shows the new rates.
On Premium, the per-user fee moved from $8 to $10, a 25% rise. On Elite, it moved from $10 to $12, a 20% rise. Here is what that does to a monthly bill:
| Team size | Premium before | Premium now | Elite before | Elite now | Extra per year (either plan) |
| 10 users | $100 | $120 | $140 | $160 | $240 |
| 25 users | $220 | $270 | $290 | $340 | $600 |
| 50 users | $420 | $520 | $540 | $640 | $1,200 |
The unchanged base fee softens the blow a little for small teams. Even so, a Premium bill rose by roughly 20% to 24% depending on headcount. Teams above 50 users may be quoted differently, so ask Intuit’s sales team before you budget.
What QuickBooks Time Really Costs by Team Size
Because the base fee is fixed, it weighs most on small teams. Divide the monthly bill by the number of users and the real per-user price appears.
| Team size | Premium monthly bill | Premium per user | Elite monthly bill | Elite per user |
| 10 users | $120 | $12.00 | $160 | $16.00 |
| 25 users | $270 | $10.80 | $340 | $13.60 |
| 50 users | $520 | $10.40 | $640 | $12.80 |
A 10-person team on Premium pays $12 per head, not $10. That gap is easy to miss when you compare tools by their per-user price alone.
Extra Costs and Limits to Plan For
QuickBooks Online is required. QuickBooks states that you need a QuickBooks Online account to use QuickBooks Time. Add that subscription to your budget.
Payroll costs extra. However, the Time plans send hours to payroll but do not run it. To get time and payroll in one place, you move to a Workforce plan and pay per employee.
Discounts cover the base fee only. The three-month offer does not reduce per-user charges, so a large team sees little benefit.
Billing is monthly. The pricing page lists monthly rates only.
Which QuickBooks Time Plan Fits Which Team
Time Premium fits small and mid-sized hourly teams that already use QuickBooks for payroll. You get clock-in, scheduling, time off and a kiosk without adding other tools.
Time Elite fits field and project businesses, such as trades and service crews, that bill by the job. Mileage, estimates versus actuals and signatures are what you are paying the extra $20 and $2 for.
Workforce Premium or Elite fits owners who want payroll, tax filing and time tracking in one system and accept a per-employee charge for it.
None of these plans is designed around remote teams where managers want activity data. For that, look at tools that include it by default.
QuickBooks Time vs WebWork Pricing
WebWork Plans and Monthly Costs
WebWork pricing has three plans. Pro costs $3.99 per user per month on annual billing, Plus costs $6.39 and Premium costs $7.19. Pro on monthly billing is $4.99. The pricing page shows no base fee, and every plan starts with a 14-day free trial that includes all features, with no credit card.
Monthly Cost Comparison by Team Size
For comparison, here is the monthly bill for the same team sizes:
| Plan | 10 users | 25 users | 50 users |
| QuickBooks Time Premium | $120 | $270 | $520 |
| QuickBooks Time Elite | $160 | $340 | $640 |
| WebWork Pro (annual billing) | $39.90 | $99.75 | $199.50 |
| WebWork Plus (annual billing) | $63.90 | $159.75 | $319.50 |
| WebWork Premium (annual billing) | $71.90 | $179.75 | $359.50 |
Note: QuickBooks Time figures include the stated number of paid users, plus one admin included in the base fee. WebWork figures are based on the stated number of paid users.
Prices checked October 2026. Before tax. QuickBooks bills monthly and WebWork rates are for annual billing. On WebWork Pro with monthly billing, the same teams pay $49.90, $124.75 and $249.50.
How Much Can You Save with WebWork?
For a 25-person team, QuickBooks Time Premium costs $3,240 per year, compared with $1,197 for WebWork Pro on annual billing. That’s a difference of $2,043. If you choose WebWork Pro’s monthly billing option, the yearly cost is $1,497, making the difference $1,743. For QuickBooks Time Elite, the annual cost for 25 users is $4,080, compared with $1,917 for WebWork Plus. That’s a difference of $2,163. For a 50-person team, the annual difference between QuickBooks Time Elite and WebWork Plus reaches $3,846.
QuickBooks Time vs WebWork Feature Comparison
Price is only half the picture, so here is what each plan list actually contains:
| Feature | QuickBooks Time | WebWork |
| Entry plan | Premium: $20 base + $10/user | Pro: $3.99/user, no base fee |
| Time kiosk | Premium and Elite | All plans |
| Timesheet approvals | Premium and Elite | Plus and Premium |
| Shift scheduling | All plans | Plus and Premium |
| Screenshots | Not on plan list | All plans |
| App and website usage | Not listed on plan page | Basic usage reports on all plans; advanced monitoring on Plus and Premium |
| Activity level tracking | Not on plan list | All plans |
| Payroll | Separate Workforce plan | Plus and Premium; also available through the Payments & Payroll add-on on Pro ($1.50/user/month) |
| Send payments | Not listed | Plus and Premium; available through the Payments & Payroll add-on on Pro |
| Mileage tracking | Elite | Not on plan list |
| Team chat | Not on plan list | All plans |
| Video meetings | Not on plan list | Plus and Premium |
| Support | Unlimited support in base fee | Live chat and email on all plans |
Which Tool Offers Better Value?
The two tools serve slightly different needs, so the cheaper price does not tell the whole story. WebWork’s Pro plan does not include timesheet approvals or shift scheduling. Those start on Plus. QuickBooks also files payroll taxes through its Workforce plans. WebWork lists payroll calculations and payments, but its pricing page does not specify payroll tax filing. Businesses that need tax filing should confirm this requirement with their payroll provider. By contrast, WebWork includes monitoring, team chat and a kiosk on every plan, making it an option for businesses that need these features without a separate monitoring tool.
Using WebWork With QuickBooks
You don’t have to choose between WebWork and QuickBooks. You can use WebWork to track employee hours and send that time data directly to QuickBooks for payroll, invoicing and project cost tracking.
The integration also lets you import employees and contractors, customers and existing projects from QuickBooks into your WebWork workspace. Employees can be matched using their email addresses or, when an email is unavailable, their first and last names.
WebWork supports both automatically tracked and manually entered hours. Once the integration is connected and time syncing is enabled, tracked hours are sent to QuickBooks and linked to the relevant employee and project. You can then find the time records under project activity in QuickBooks.
As a result, your team spends less time entering data twice or transferring hours manually using spreadsheets. Your team can continue tracking time in WebWork while your finance team uses QuickBooks for payroll, invoicing and accounting.
Questions to Ask Before You Buy
- How many people will use the software? Check the base fee and per-user charge together to estimate your actual monthly cost.
- Do you need payroll as well as time tracking? If so, compare the Workforce plans instead of looking only at Time Premium and Elite.
- Do managers need employee activity data? Check whether the plan includes screenshots, app and website tracking, and activity reports.
- Are there other costs to consider? Include your QuickBooks Online subscription and any additional payroll costs in your budget.
- Could the price change at renewal? Ask about renewal rates and any planned pricing changes before signing up.
If you are weighing other trackers too, our breakdown of Time Doctor pricing applies the same method.

Final Thoughts
Before choosing a plan, calculate the monthly cost for your actual team size. Also consider what your managers need beyond basic time tracking. QuickBooks Time may be a good fit if your business already uses QuickBooks and needs employee hours connected to payroll. However, if you also need employee monitoring features such as screenshots, app and website tracking, and activity reports, compare what WebWork offers.
You don’t necessarily have to replace QuickBooks to use WebWork. Its QuickBooks integration lets your team track working hours in WebWork and send that data to QuickBooks for payroll, invoicing and project cost tracking. This gives businesses another option to manage employee time without switching their existing accounting setup.
The right choice depends on your team’s needs, the features you use and the total monthly cost, not just the starting price.
